The Mall Luxury Outlets is currently seeking a Personal Assistant, who will provide organizational and administrative assistance to the General Manager. Being based in our Milan office, the Personal Assistant will directly report to the General Manager.

The Mall Luxury Outlets is a retail brand whose core business is to operate exclusive outlet villages dedicated to luxury brands only. Currently running two luxury outlet villages in Italy, The Mall Sanremo and The Mall Firenze, the brand keeps developing its business in a multichannel and international perspective. The Personal Assistant will support the General Manager of the Brand, taking in charge all organizational and administrative tasks, attending and supporting all the activities and projects in charge to the General Management, and taking care of the office facility and relating services.
How you will contribute ?
Support the General Manager business activities, attending the projects and meetings, prepare and review documents, briefing papers, organize signatures, documents delivery, reports, presentations, coordinate activities, organize Company initiatives and events,
Proactively manage an active calendar of appointments: schedule meetings, book business trips arranging detailed travel plans and itineraries
Be the focal point of contact on behalf and filter requests for information, identify issues which need immediate attention and manage conflicting priorities
Compile, proof-read and send correspondence on Director’s behalf, after his approval
Manage external contacts, represent the executive by welcoming visitors, keep track of periodic communication and manage follow-ups.
Supervise the office facility assuring the full availability of the relating services, engage and coordinate suppliers for maintenance activities, manage all front-desk services, the availability of common spaces and any similar task, welcome guests and suppliers, assure the availability of consumable resources
Who you are ?
3-5 work experience in the same role or similar, possibly in the luxury industry
Bachelor's degree required
Exceptional interpersonal, communication and time management skills
Proven ability to handle confidential information with the maximum discretion
Strong organizational skills: perform and prioritize multiple tasks with excellent attention to detail
Proactive approaches to problem-solving, wide availability and commitment
Excellent knowledge of English; French or Chinese as additional plus
Proficiency in Microsoft Office
